• The Ohio Roundup Steering Committee met at Panera Bread in Columbus, Ohio on Sunday, November 24, 2004 from 2:45 until adjournment.

• Judy opened the meeting with the Serenity Prayer.

• Minutes from August 21^st 2004 meeting were approved. M/S/P

• Jim O’N gave Treasurer Report of $ 13,795 in Money market account. Stated he and Gary have not fully made the change over yet.

OLD BUSINESS:

• 22^ND Ohio Roundup Committee Cleveland wrapped up, forwarding to Col. and the SSC:

*A copy of the 2004 (floppy) mailing list.

*Scholarship recipients

*Suggested fundraisers and their profitability

*Souvenirs- 100 T-shirts (96sold), 40caps (all sold), 27 Polaroid’s

*Totals: Roundup 271

Cleveland explained the insurance problem they encountered. It was explained that if the host committee is paying for room nights the Insurance Company would not cover the event. Ideas about how to circumvent this situation were entertained. Columbus acknowledged that they would check into their options and Jim and Frank agreed to investigate about the SSC obtaining their own.

• 23^rd Ohio Roundup Columbus Committee:

Bob R. reported all is going well. Holloween dance did well. New Year’s Eve dance is on website. Voiced appreciation to Cleveland for information. Investigated question about 501C3 tax status (see new business)

• Proposed Charter changes tabled until next meeting:

1) Statement of Purpose to be: The Ohio Roundup is an annual conference held in August, catering to the recovering gay, lesbian, bisexual, and transgender community. Every year the Ohio Roundup moves to a selected city somewhere in Ohio.

2) Proposal to change all language in Charter to be inclusive of whole community, G.L.B.T.

3) Add amendment stating that 3 signatures will be needed for our account (Chair, Treas., and Co-Treas.) and 2 signatures (Treas., and Co-Treas.) names will be needed on checks. (Cleveland acknowledged this was how they handled their account). It was agreed that this needs immediate attention.

NEW BUSINESS

• Bob, Jim, and Frank are going to work on 501C3 and Incorporation issues for the SSC. Bob has already been able to ascertain that we (Ohio Roundup) are presently not incorporated. It has been suggested that perhaps we were at one time but not now and that cost would be $125.00. Judy voiced concerns about things such as: permanent address, renewal issues, reporting requirements and who would be the statutory agent. (She did agree to do this only as an attorney, not as a Steering Committee member). Information is to gathered and a proposal put together for our next meeting or shared via e-mail before.

• Chris O’B. agreed to become our new webmaster. Chris P. received multiple stacks of old Roundup minutes and history which Chris O’B. agreed to incorporate into the web archives when time permits. Chris P agreed to contact Larry, our present archivists to see if he would like back up or help with is job.

• Options were discussed about how to acknowledge Vaughn (deceased friend of AA and the Ohio Roundup). The idea was contemplated that this body offers a scholarship in Vaughn’s name to the Roundup and examines a long-term plan later. All were in favor.
